Accountant

Summary

The Accountant is responsible for managing project activities’ accounting and finances, and to ensure the appropriate use of the resources. He/She is therefore responsible for ensuring proper accounting, financial and logistics management.

He/she is responsible, with the Project Manager, of the image and reputation of the NGO at Local level.

Third Supervisor: Project Coordinator

The Accountant is responsible for the administration and logistics of the project activities and Songea office. With regards to daily activities, particularly with regards to relationship with Donors, He/She will coordinate and cooperate directly with the Project Manager and the Country Administrator and, secondly, with the Project Coordinator.

For administrative issues he/she will refer firstly to the chief accountant based in CUAMM Iringa Sub-Office and, secondly, to CUAMM Country Administrator. He/she will refer to CUAMM Iringa Office for any kind of administrative and contract management issues (Admin Dept).

Roles and Responsibilities

ACCOUNTABILITY:

-       To keep the accountability information updated;

-       To prepare double entry records;

-       To manage the data entry records in the Accounting Software;

-       To ensure detailed documentation about payments and bank transaction;

-       To prepare monthly bank accounts reconciliation;

-       To support the Project Manager in managing the project budget and the bank account and to ensure all the referred documentation;

-       To take care of all rental and bill payments;

-       To monitor the projects financial evolution;

-       To support the Chief Accountant and Country Administrator in monthly closing and year-end closing (detailed ledgers analysis, adjustments, reconciliation, etc.);

-       To support the Chief Accountant and Country Administrator in the preparation of external and internal Audit documentations (accounting books, spread-sheets reports, reconciliation, costs and income analysis, contributions reconciliation, contracts, projects realizations costs reconciliation, projects documentations, fixed assets register reconciliation, exchange currency re-valuations, and other required documentation, etc.).

QUARTERLY FUNDS REQUEST:

-       To support the Project Manager in the development of the quarterly request for funds.

LOCAL STAFF:

-       To keep updated Employees’ reports (loans, cash advance, holidays, annual transports fees contributions, etc.);

-       To keep updated the Personnel’s’ files; (labour contracts, profile, CVs, communications, payroll books, etc.;

-       To support the Project Manager in the interaction with the Project Staff with regards to Financial Accounting, Payroll, Compliance to Local Laws, Compliance to CUAMM’s procedures, etc.

PURCHASES and LOGISTIC:

-       To support the Project Manager in purchasing activities;

-       To ensure that all the purchases are done following the correct procedures;

-       To ensure all documentation about the material and equipment purchased with the project funds.

-       To keep up-to-date inventory of CUAMM's assets;

-       To follow-up all movement of goods and people between CUAMM's offices;

-       To ensure proper documentation of donations and handing-over of project assets to beneficiaries.

TRAINING:

-       To make sure that all the financial aspect of the training activities of the Project in Ruvuma Area are reported and documented.

VEHICLES:

-       To verify the correct use of the vehicles of the project;

-       To ensure the correct documentation of the vehicle use;

-       To supervise the correct maintenance of the vehicles.

Qualifications & Experience

-       BSc Accounting and Finance;

-       A minimum of 2 years’ experience as accountant;

-       Preferable previous experience as accountant of developing projects.

Languages

Perfect and demonstrated command of the English language, both written and spoken, is required.

Contract Duration

Contract up to End of November 2016, Renewable

Trial period: 3 months
